Graham Management offers complete management services specifically tailored to meet each Community's needs.

 

 

FINANCIAL SERVICES

 

*     Complete monthly financial reporting inclusive of collection and delinquency reports, general ledger, reserve fund analysis, bank reconciliation’s, budget variance, and balance sheet.

*     Accounting by cash or accrual methods.

*     Daily accounts receivable and payable.

*     Budget preparation formulated on the zero based budget formats, which ensure correct budgeting.

*     Interface with Association CPA for annual audits and tax preparation.

*     Utility analysis and collection rate reports.

*     Annual or monthly billing statements.

 

DEED RESTRICTION SERVICES

 

*     Routing deed restriction inspections performed to note all violations.

*     Notice of violation sent to all applicable homeowners and tenants.

*     Deed restriction violation history reports maintained on all homes with photographs and correspondence.

*     Monitor subdivision for Architectural Control infractions.

*     Distribute and collect all necessary forms and plans to homeowner.

*     Maintain ACC database to insure timely response and compliance with conditional approvals and variations.

*     Common area structures inspected for deterioration, code compliance, safety and maintenance.

*     Interface with Associations attorney relating to all deed restriction and accounting matters.

 

CONTRACT MAINTENANCE

 

*     Perform routine site checks to ensure vendors are meeting all contractual obligations.

*     Inform Board of Directors sixty days prior to expiration of contract.

*     Obtain specifications, distribute to approved vendors for purpose of bidding on contract renewals.

*     Conduct meeting and site walks with vendors as necessary to convey problem areas or needed maintenance or attention.

 

 

ADMINISTRATIVE SERVICES

 

*     Preparation of monthly reports to Board of Directors inclusive of financials, management report, deed restriction and physical inspection reports, warranty and contract expiration reports, and all related correspondence.

*     Recording and maintaining all meeting minutes, resolutions, and amendments.

*     Preparation of annual meeting inclusive of developing and distributing meeting notices, proxies and ballots, verifying voting eligibility and quorum requirements are met for each item on the ballot.

*     Maintaining all homeowner and corporate file sand records.

*     Representing the Association in all court and legal matters and prepare discovery requests.

*     Handling all homeowner questions and correspondence.

     *     Distributing pool cards, keys, remotes, or other necessary items.

     *     Schedule clubhouse rentals and distribute keys and contracts.

     *     Provide training for all Board members and committee members.

     *     Twenty-four hour emergency service.

     *     Distribute specifications for all proposals; obtain proposals for review by Board of Directors.

*     Maintain work order database to assign and track status work, record amounts expended on each job, and follow up upon completion of work for customer satisfaction.

*     Maintain listing of approved vendors with verified insurance and references.

*     Provide monthly listing to the Board of Directors of new homeowners.

*     Mail welcome packets to all new homeowners.
